Terms & Conditions

All bookings, registrations or other orders placed with and accepted by Xenergie are subject to the Xenergie’s standard terms and conditions of service.  For your convenience, a summary of these terms and conditions of service are outlined below.  A complete copy of our terms and conditions of service, as may be amended from time to time, shall be made available upon request and/or on or before placing an order for the services.  In the event of any conflict with the terms summarised below and Xenergie’s terms and conditions of service, the latter shall prevail.

Making a Booking

All orders shall be made in writing and are subject to availability and to acceptance in writing by Xenergie.  Acceptance may be issued by e-mail, unless otherwise requested when the order is placed.

Pricing and VAT

Catalogues, price lists and other advertising literature or materials used by Xenergie are intended only as an indication as to price and are subject to change without notice.  Value Added Tax (VAT) is chargeable at 23% on 1-1 coaching and coaching services in Ireland. VAT is not chargeable on training.

Payment Terms

Credit card payments may be made via Paypal, are subject to a processing charge of 3% of the transaction amount and such other terms and conditions as may be prescribed from time to time by Paypal. A refunded fee charge may apply and be deducted from your Paypal account in respect of any contested Paypal transaction found to be valid.

Except where staged monthly fees or other payment terms have been agreed in writing by Xenergie, the following payment terms will apply:

  1. Management Training Course Delivery / Facilitation:
    50% of the total price is payable upon booking and acceptance of the order and the remaining 50% is payable by no later than 14 days from the date of delivery and/or completion of the Services;
  2. Public Workshops / Personality Assessments  and Speaking Engagements:
    Payment in full of the total price upon booking and acceptance of the order;
  3. Coaching Engagements and other Services:
    Payment in full of the total price on or before the date of commencement of the Services, unless and to the extent instalment payments have been agreed in writing by Xenergie.

Penalties will apply to late payments.  Xenergie also reserves the right to charge interest on all late payments in accordance with the European Communities (Late Payment in Commercial Transactions) Regulations 2002 (SI 388 of 2002) and any amendment or re-enactment thereof.

Cancellations and Postponements

Except for group/team programmes or other ongoing programmes which require three (3) months notice in writing for cancellation, cancellations and postponements must be notified to us in writing prior to the event and/or the commencement of the Services.  Cancellations and postponements will incur the following charges:

  1. More than 30 days advance notice, no charges will apply other than the Processing Fee;
  2. 15 – 30 days advance notice, 50% of the full fee plus the Processing Fee;
  3. 8 – 14 days advance notice, 75% of the full fee plus the Processing Fee;
  4. 1 – 7 days advance notice, 100% of the full fee plus the Processing Fee.

Once the Services have commenced, no refunds will issue in respect of any subsequent cancellation or postponement by you. However, Xenergie may, at its discretion, offer an alternative date (where possible) or issue a credit toward future courses and/or Services.

A Processing Fee of €150 will apply to all such cancellations or postponements.

Professional Conduct


Xenergie coaches adhere to a professional code of ethics (International Coach Federation) and other membership codes of ethics according to speciality of individual coaches.   As professional coaches, we acknowledge and agree to honour our ethical obligations to our coaching clients and colleagues and to the public at large. We pledge to comply with the ICF Code of Ethics, to treat people with dignity as independent and equal human beings, and to model these standards with those whom we coach.

Xenergie Consulting and our associate coaches are insured for Malpractice & Professional Liability, Public Liability and Products Liability.

Confidentiality and Data Protection

We will agree a suitable confidentiality agreement on commencement of a contract, if necessary, and will treat all confidential information securely and in accordance with its terms.  For information about our privacy practices, please refer to our Privacy Statement.

What we Expect from You during coaching engagements

  1. Please turn up promptly for sessions, as it is not usually possible to run-over the allotted time due to subsequent clients.
  2. You will experience greater value if you ensure to allocate time to complete assignments and work on our learning through reading etc in between coaching sessions. The journey in between sessions is as important as the journey in the sessions!
  3. Clients are responsible for informing Xenergie of all relevant information concerning their health, mind and general wellness which may otherwise interfere with their coaching assignments. We also expect clients to take reasonable care of their health and wellness so that they present for sessions alert and in a capacity conducive to learning. Clients presenting for sessions under the influence of alcohol or non-prescription drugs will not be not be coached.
